Tips and Ideas

  • Get planning early - events take some time and there’s lot of little things to take care of. Think about venue, promotion, security, transport and budgeting just to start with.
  • Work out a budget for the event and apply for funding through NUSA, NUsport or NUPSA. They can help ease the cost of your event, which is awesome!
  • Have an event on campus. Pop into the Glasshouse inside Bar on the Hill and talk to the U about discounted event packages at Bar on the Hill and GT Bar. They can do a quote for you including security and cleaning plus they have lots of event planning and management experience.
  • Brainstorm themes to get people along to your event - a fun event will draw lots of people.
  • Promote your event as much as possible - see 'Promoting your Event' for options
  • Book your venue and function package early. Also book some entertainment to keep the crowd happy - the U can help book this if you have something in their venue.
  • Decide whether you want to make your venue closed (your members only) or open and whether it is going to be 18+ and in a licensed venue. Consider selling tickets by having a booth on campus so you can build number before the day. See Events and Functions tab for more information.
  • Delegation is key! Give all of your committee members little jobs - many hands make light work.
  • Keep a record of everything that’s booked, have plenty of meetings and keep receipts.
  • Success! You are ready to hold your event. Have plenty of helpers to set up and put up decorations as well as helping out on the night. Organise someone to take money on the door if you have an entry charge and take some pics. Most importantly, enjoy yourself!
  • After the event is over, sit down and recap then submit the final receipts to NUSA, NUsport or NUPSA.
